Smart Systems Technology

Glossary

Whether you’re in legal, HVAC, government, or professional services—this glossary defines the key terms we use in our platform, services, and conversations. No jargon, just clarity.

API (Application Programming Interface)
A bridge for different software tools to communicate and exchange data—like a digital translator.

App Integration
Connecting systems (like CRMs, accounting tools, calendars) via automation so they work together seamlessly in SST’s workflows.

Automation
The use of software to execute repetitive or rules-based tasks without manual input. SST uses automation to streamline processes, reduce errors, and free up human attention for higher-value work.

Business Intelligence
The process that turns data into clear, actionable insights—used to optimize performance, uncover bottlenecks, and make informed decisions.

CRM (Customer Relationship Management)
A system to manage client data and interactions—central to many of SST’s sync-driven workflows.

Data Automation
Automatically moving, organizing, or analyzing data to reduce manual effort and maintain accuracy—core to SST’s mission of smarter tools.

Data Sync
Keeping multiple systems (e.g., Salesforce, QuickBooks, Airtable) continuously consistent and up to date.

Flow Mapping
Visual mapping of tasks, data, and decisions—used in SST’s Map It Now sessions to surface inefficiencies and improvement opportunities.

Human Automation (Human-In-The-Loop)
Automation that includes real human decision-making at key points—letting systems handle repetitive tasks while people focus on nuance and value. It’s not about replacing people—it’s about making their work more focused, efficient, and impactful.

Human Node
A step in an automated flow where a human intervenes—for approvals, quality checks, or exceptions.

Human System Collaboration
Designing automations that work alongside people, amplifying their work rather than replacing it.

Inquiry Management
How SST captures, routes, and responds to incoming leads, questions, or support messages.

Integration Layer
The architectural component that connects apps, allowing them to “speak” with each other without needing direct point-to-point links.

Map It Now Session
A complimentary session to uncover automation opportunities by mapping an existing process and identifying bottlenecks.

Meandering / Process Rivers
A metaphor for real-world workflows: non-linear, with pauses, detours, and checkpoints. SST designs systems that adapt to this natural flow.

P

PAL (Process Abstraction Layer)
A structural layer that separates your business logic from individual apps—making workflows portable and easier to evolve.

Process Orchestration
Coordinating apps, systems, timing, and human involvement so workflows run smoothly without ongoing manual control.

QuickBooks Integration
A common SST use case: syncing financial data between QuickBooks and other platforms to eliminate duplication and improve finance accuracy.

Reflection Architecture
A patented SST method that provides live visibility into systems without disrupting existing workflows—ensuring observability and control.

Reputation Management
Services to help businesses and law firms monitor and respond to reviews, enhancing local credibility and visibility.

Scalability
Ensuring automations perform reliably as your business grows—SST builds systems to handle increasing load and complexity.

Security & Compliance
Built-in protections and support for standards like HIPAA, CJIS, and other regulations.

System Node
An automated step in a workflow executed by a software tool (e.g., sending an email or logging a record)—no human needed.

V

SST’s framework for orchestrating both people and systems—intelligently routing tasks between humans and tools for natural workflows.
